Overview

Provides expediting support to the Purchasing Section. Acts as coordinator between the buyers, vendors, freight forwarders and the customers, to insure that purchased equipment, materials, and supplies are delivered on time, in the correct quantity and to the correct destination.

Responsibilities

Responsible for daily follow up of all Purchase Orders to ensure scheduled delivery date are met.
Responsible for notifying vendors of overages, shortages, damaged equipment etc., and for performing the necessary actions to ensure time delivery.
Liaise with freight forwarders, customs, or clearing agents to en sure smooth and timely clearance of goods.
Obtains vendor documentation of delivered equipment when required.
Responsible for closing out the Purchase Orders and updating the open/closed Purchase Order Tracking List.
Produces the bi-weekly status reports of open Purchase Orders to the projects.
Performs minor direct purchases under the guidance of the Purchasing Supervisor during peak periods.
Provides general administrative support within the Purchasing Department and performs additional duties as required.

MAJOR JOB ACTIVITIES:

MATERIAL & EQUIPMENT DIRECTLY USED:
Personal computer, printer, calculator, fax machine, copy machine and other general office equipment.
WORKING ENVIRONMENT:
In general office environment. Eyestrain and repetitive motion involved during periods of peak workload.
PHYSICAL ACTIVITIES:
Work requires standing, climbing, bending, and occasionally working in cramped and awkward positions. Employee stands for long periods. Frequently lifts equipment weighing 25 pounds. Occasionally assists lifting and carrying equipment weighing up to 75 pounds. If employee fails to follow appropriate safety procedures, there could be exposure to cuts, bruises, and strains. May be required to wear a respirator and to pass the required physical. May be required to work an uncommon tour of duty including nights, weekends, and holidays. Must comply with OSHA, EPA, Fire Regulations and published Company work rules.
MINIMUM QUALIFICATIONS:
Education/Certifications: One year related experience may be substituted for one year of education, if degree is required.
Minimum of a high school diploma required, with college or university level education preferred.
Experience:
Minimum three years in a general office environment, preferably in purchasing, procurement shipping/receiving, or expediting. Must have working knowledge of basic office procedures, purchasing policies and procedures, and basic software worksheet technologies. Knowledge of local import/export and customs procedures will be an advantage.
Skills:
Must have outstanding interpersonal skills, as well as excellent oral and written communication skills.
